Choosing salon management software is a decision you'll live with every day: your calendar, clients and reminders will all run through it. Switching after six months, with a full calendar and history to move, is inconvenient and eats up time. It's worth spending an hour working out what you actually need before looking at the features a product promises.
Start from how you work, not from the feature list
Before comparing products, answer a few practical questions: how many people work in the calendar? One location or several? Do clients book by phone, in the salon, on WhatsApp or through social media? How many appointments do you lose each week because someone forgets to show up? The answers tell you which features are essential and which are just nice to look at.
The criteria that really matter
- Clear multi-staff calendar: it should show who does what and when, and never let the same team member be booked twice at the same time.
- Automatic WhatsApp reminders: it's the channel clients actually read. Check that confirmations and reminders go out on their own, from your business number, and don't ask you to copy messages by hand.
- Online booking: a link you can share on social media and WhatsApp, with always up-to-date time slots, cuts down phone calls and after-hours messages.
- Useful client records: appointment history, notes, date of birth. A CRM that is too complicated won't get filled in by anyone.
- Clear pricing: ask what it costs per month, what changes between plans, whether there are commissions on bookings and whether WhatsApp messages are included or pay-per-use.
- No long lock-in: prefer a subscription you can cancel whenever you want, at least until you're sure it works for you.
- Your data stays yours: ask whether you can export clients and appointments, so you never get locked in.
- Easy to use in the salon: if you use it on a phone or tablet between treatments, it has to be fast. Software that takes days of training ends up unused.
Tests to run before you subscribe
Don't rely on the description alone: try it in practice. Create three dummy appointments, move one, try booking as a client would from the online link, and see what happens to the confirmation message. If there's no free trial, at least check that the subscription can be cancelled at any time and read carefully what happens when you go over your plan's message limit.
The most common mistakes to avoid:
