A birthday message to a client is one of the smallest and most appreciated gestures a salon can make: it takes a few seconds, says "we remembered you" and puts your business name on the client's screen at a happy moment. The hard part is consistency: remembering every single day who has a birthday, in between appointments and phone calls, is exactly the kind of task that slips first.
Why it works (and what to realistically expect)
A birthday message isn't advertising: it's attention. That's why it feels like a personal gesture rather than a promotion, and it keeps the relationship warm even with clients you haven't seen for a few weeks. It won't work miracles โ no single message fills your calendar โ but it's a simple, almost free way to stay in your client's mind.
What to write: a message template
There are only a few rules: short, warm, with the client's name and the salon's name. Avoid long texts and anything that feels like a mass message.
- Use their name: "Happy birthday, Julia!" works better than a generic "Happy birthday, valued client".
- Sign with the salon's name: the client should know instantly who it's from, even if they haven't saved your number.
- Two lines are enough: a wish, a kind thought, one or two emojis.
- No pressure: if you want to add an invitation to drop by, keep it light.
A simple example: "Happy birthday, Julia! ๐ From the whole team at [salon name], we wish you a wonderful day. See you soon! ๐"
The real obstacle: doing it every day without forgetting
Writing by hand is doable with ten clients, not with a few hundred. To do it every day you need two things: birth dates stored neatly in each client's record, and something that reminds you โ or better, sends the message for you. A spreadsheet or your phone's notes still need someone to check every morning and type the message, and on busy days that step is the first to be skipped.
A practical tip: collect the date of birth at the right moment, for example in the online booking form or at the first visit, instead of having to ask later. Remember that personal data should be collected with a clear privacy notice and only when you really need it.
How it works with DigiReminder
