At 9:05 a client texts "can't make it today" for her 9:30 appointment. Another doesn't show up at all. Many salons then wonder whether to set some rules, but worry about seeming strict. A well-written salon cancellation policy isn't about punishing anyone: it tells clients what you expect before the problem happens.
What is a cancellation policy?
It's a short rule that explains three things: how much notice clients must give if they can't come, how to tell you (message, phone) and what happens if they arrive very late or don't show up.
It's mainly about no-shows — clients who don't turn up without cancelling — and last-minute cancellations, which leave a slot that's hard to fill.
Why even a small salon needs one
- Clients often don't realise a late cancellation causes you a problem: to them it's "just an appointment".
- It avoids arguments: if the rule is written and shared beforehand, you don't have to improvise.
- It frees up slots: a client who cancels in time leaves the space for someone else.
- Everyone is treated the same: no exceptions that other clients notice.
What to include
- Notice period: for example 24 hours. For long or expensive treatments some salons ask for 48 hours.
- Channel: "just reply to this message" or "message us on WhatsApp" is easier than "call us during opening hours".
- Late arrivals: after how many minutes the treatment is shortened or rescheduled.
- Repeated no-shows: what happens after the second or third time (for example, bookings only with confirmation).
- Any deposit: if you ask for one on certain services, say which and how it works.

Adapt times and tone to your salon. Replace [salon name] with yours.
1. Simple policy
"If you can't make it, please let us know at least 24 hours before by replying to this message, so we can offer the slot to someone else. Thank you!"
2. With late arrivals
"We look forward to seeing you at your booked time. If you're more than 15 minutes late we may need to shorten or reschedule your treatment, out of respect for the next clients."
3. For long treatments
"For treatments over an hour, please give us at least 48 hours' notice if you need to cancel: we prepare products and time especially for you."
4. After several no-shows
"Hi Emma, we noticed your last two appointments were missed without notice. No problem, it happens! For future bookings we'll ask you to confirm the day before. See you soon, [salon name]."
5. For your noticeboard or social profile
"Your time is precious, and so is ours. If you can't make it, let us know at least 24 hours before and we'll free the slot for another client. Thanks for your understanding! — [salon name]"
Where to share it
| Where | Why |
|---|---|
| In the confirmation message | Clients read it right when they book |
| In the salon, near the till | Everyone sees it, without explaining it each time |
| On social media and your Google profile | New clients see it before booking |
| In person, with regulars | Introducing it kindly stops it feeling like a punishment |
How to enforce it without losing clients
- Be consistent: if you always make exceptions, the rule stops existing.
- Tell emergencies from habits: emergencies happen to everyone; three no-shows in a row are different.
- Keep a neutral tone: after a missed appointment, ask if everything's OK and offer a new time.
- Make cancelling easy: if replying to a message is enough, many clients tell you instead of disappearing.
- Remind them: a policy works better when clients don't forget they have an appointment.
On that last point there are more tips in the guide on no-shows in beauty salons and ready-made texts in 10 WhatsApp messages to remind clients of an appointment.
Reminding clients automatically
The policy tells clients what to do; the reminder makes sure they do it in time. With DigiReminder clients receive a confirmation from your business WhatsApp number when the appointment is created and a reminder before the date, at the time you choose (3 to 72 hours before). If your policy asks for 24 hours' notice, it makes sense to send the reminder a little earlier so clients have time to tell you.
Clients can reply straight to the WhatsApp message, and if you move an appointment they receive the new time (Pro and Business plans). Automatic texts are predefined, so share your cancellation policy in the messages you write yourself or when the client books. DigiReminder doesn't handle payments, so any deposit needs to be managed separately.
