Someone recommended booking software for your salon, but the pricing page is full of plans, limits, seats, message credits and "advanced features". The real question is simple: how much does salon software cost, and what will you actually pay each month? This guide covers what pushes the price up or down and what to check before you subscribe.
How salon software is paid for
Today almost all software for beauty salons, hairdressers and barbers is subscription-based: you pay a monthly fee (sometimes discounted yearly) and use it in the browser or an app. One-off licences still exist, but they are increasingly rare and often need a dedicated computer and paid upgrades.
Some tools add extra items on top: commissions on online bookings, a charge per SMS, set-up or training fees. Not necessarily a problem, but they belong in your sums from day one.
What changes the price
- Number of staff: the more people in the calendar, the higher the plan. If you work alone, a single-user plan is often enough.
- Automatic messages: confirmations and reminders cost the provider money, so many plans include a monthly limit. Estimate how many appointments you have per month.
- Message channel: SMS, email or WhatsApp. SMS is often billed separately; WhatsApp is the channel most clients read every day.
- Included features: online booking, client records, reports, data export, multiple locations.
- Commitments: minimum contract length, cancellation fees, exit costs.
Hidden costs to check before subscribing
Before entering your card, ask these questions (or find the answer on the pricing page):
- Is the price with or without VAT? Is it permanent or only an introductory offer?
- Are there commissions on bookings or payments?
- Are messages included? How many, and what happens if you go over?
- Can I cancel any time? Or is there an annual contract?
- Is my data mine? Can I export clients and appointments if I switch?
- Do I need special hardware? Software that runs on your phone and computer avoids extra spending.
What NOT having it costs you: an example
Compare the software price with the time it saves and the appointments it helps you keep. Here is an example calculation (made-up numbers to show the reasoning, not real data about your business):
| Item | Example |
|---|---|
| Average treatment value | €40 |
| Forgotten appointments per month | 3 |
| Value of slots left empty | €120 per month |
| Time spent texting reminders by hand | 15 minutes a day |
In this example, saving just one appointment a month covers a basic plan. Run the same sums with your own numbers: your average service value and how many clients really miss their slot. To understand where missed appointments come from, read the guide on no-shows in beauty salons — a no-show is a client who doesn't turn up and doesn't tell you.
Which plan fits your business
| Situation | What you really need |
|---|---|
| Working alone, a few appointments a day | Calendar, client records, automatic confirmation and reminder |
| Salon with 2–3 staff | Calendar per staff member, more messages per month, a notice when you move an appointment |
| Several locations or a large team | Unlimited staff, reports, data export |
Start with the smallest plan that covers your work today and upgrade only when you need to. If you are still comparing tools, the criteria to check are in how to choose software for a beauty salon.
